Purpose
At Studio Dhesi, we are committed to conducting our business ethically, transparently, and in alignment with our values. We recognise that open communication and accountability are essential to maintaining trust with all stakeholders, which includes all employees or contractors, clients, partners, community members, and suppliers. This policy outlines how stakeholders can raise concerns or grievances, and how we will address them promptly, fairly, and respectfully.

This policy applies to all stakeholders who engage with Studio Dhesi, including but not limited to:
Employees, contractors, and consultants
Clients and customers
Suppliers and business partners
community members, and the general public

2. Transparency: Complaints are handled with honesty and clarity about the process and outcomes.
3. Fairness: Each grievance will be assessed objectively and without bias.
4. Confidentiality: Information shared will be treated with respect and used only for resolving the issue.
5. Continuous Improvement: We use feedback to strengthen our practices and uphold our sustainability commitments, reviewing this policy annually.

How to raise a grievance

Please include:
Your name and contact details (optional for anonymous submissions)
A clear description of your concern or issue
Any supporting information or documents
Process for handling grievances
1. Acknowledgement: We will acknowledge receipt of your grievance within 5 working days.
2. Review: We will review the concern and, if necessary, request additional information. We will keep you updated on progress at each stage of the process that follows.
3. Investigation: Where appropriate, an internal review will be conducted to understand the issue fully.
4. Resolution: A written response outlining the findings and proposed resolution will be shared within 30 working days, where possible.
5. Appeal: If you are unsatisfied with the outcome, you may request a further review by an independent advisor.
6. Closure: Once resolved, we will confirm in writing that your grievance has been closed.
If we determine that a matter raised does not meet the criteria of a grievance (see ‘what is a typical grievance’), we will explain this decision and our reasons in writing, normally within 10 working days.
Protection for individuals raising grievances
Studio Dhesi is committed to ensuring that any individual who raises a grievance in good faith is protected from retaliation, victimisation, or disadvantage of any kind.
No stakeholder will face negative consequences such as discrimination, dismissal, loss of opportunity, or unfavourable treatment for expressing a concern, whether the grievance is upheld or not.
Any act of retaliation or intimidation against a person who has raised a grievance will be treated as a serious breach of company policy and may result in contractual action. We also recognise that raising a grievance can be stressful. Where appropriate, we will offer confidential support and guidance to individuals throughout the process.
To protect confidentiality and manage risk, we will:
Allow you to request that your identity remain confidential if you believe raising a grievance could result in retaliation
Clearly explain, at the outset, who will need to be informed or involved in reviewing your grievance
Seek your consent before sharing your information with any additional parties, other than where required by law
Treat the outcome of your grievance as confidential, sharing it only with relevant parties
Ensure those responsible for handling grievances receive appropriate training
Treat any breach of confidentiality relating to a grievance as a disciplinary matter
Where appropriate, work with independent third parties to assess risks for vulnerable stakeholders
Continuous learning
We regularly review grievance trends and feedback to improve our internal policies, stakeholder engagement, and sustainability practices.
